Moving your deliveries off WhatsApp and phone calls
Location pins, missed calls and lost addresses cost you orders. How to move your riders and customers to one organised system without disruption.

WhatsApp is a good way to talk to people. It is not a good way to run a delivery team.
Yet that is how most local shops start: a group with the riders, a pin for every address, and a phone that never stops. It works until the day it does not. A message is missed, a pin is wrong, and a customer is standing at the door with no one coming.
This guide shows what that really costs you, and how to move to one organised system without upsetting your riders or your customers.
What WhatsApp delivery really costs you#
Time#
Every order needs several small jobs: typing the address, sending the pin, answering "which building?", and confirming that the rider has seen it. Each one is small. Together they eat your busiest hour.
Mistakes#
A pin dropped one street away. A message scrolled out of sight. A parcel handed to the wrong rider. Each mistake is a late order, a wasted trip or an unhappy customer.
No records#
WhatsApp chats are hard to search and easy to lose. When a customer says an order was late, or a rider says he was never told, you have nothing to check. You cannot see which orders were slow or which areas cause trouble.
What to move first#
You do not have to change everything on one day. Move the parts that hurt most, in this order:
Addresses. Save each customer's address in MiniDrop once. The next order for that customer takes seconds, and the pin is already right.
Rider instructions. Instead of messages, riders open their trip in the rider app and see the stops in order with the customer's name, address and phone number.
"Where is my order?" questions. Give customers a tracking link, so the question answers itself.
End-of-day reporting. Look up each order and its timeline in MiniDrop instead of asking riders how the day went.
Keep your WhatsApp group for general chat with the team if you like. It just stops being where the work happens.
A calm two-week switch#
If you want a simple order of play, this works for many shops:
Week one: use MiniDrop for a few real orders each day alongside your old way. Save customer addresses as you go. Let one or two riders try the app.
Week two: send every order through MiniDrop. Share tracking links with customers. Stop sending pins and instructions by message.
After that: look at your order history once a week and see what you could not see before.
The old way stays available as a safety net for as long as you need it. You decide when to let it go.
Bringing your riders along#
Riders are often the most worried about change. The good news is that their day gets simpler:
Trips arrive on their phone with a notification. No more waiting for a call.
Stops are already in order, with one-tap directions. No more asking for the way.
They tap one button for each order: picked up, delivered, not delivered or on hold.
A pickup code makes sure each rider takes the right package at a busy counter.
How customers notice the difference#
Your customers will not see your software. They see a private tracking link with your shop's name and logo. It shows how many stops are before theirs, gives an arrival estimate once the rider is on the way, and shows the rider's first name with a call button.
To the customer it feels like you have become a bigger, more reliable business. And the calls to your counter go down. See how the tracking link works.
Frequently asked questions#
Do I have to stop using WhatsApp completely?
No. Many shops keep a group for general messages. The difference is that addresses, trips and updates move into MiniDrop, where they are organised and recorded.
Will my customers be confused by a new way of doing things?
They only see a tracking link, which is simple to open and use. You can tell them in your order confirmation message that they will get a link to follow their order.
What if my riders are not used to apps?
The rider app has few screens. Most of what a rider does is tap one button per order. Doing a practice trip together on day one makes it easy.
How long does the switch take?
You can be sending real deliveries within a week. The first-week plan shows the steps day by day.
You do not have to fix everything at once. Start with one rider and a few orders, and let the calm spread from there.
